How to Be an Effective Delegator

When you delegate effectively, the workload is shared, progress is made, and everyone benefits. Delegation is an essential skill for effective leadership in business. Follow the five steps below to improve your delegation skills and become a better leader.

No. 1  Provide Context When Assigning Tasks

Most people perform better when they are given a “why” for the task at hand. It helps to be able to see the end goal and how they play an essential part in the successful completion of it.

It is important for your employees to have a clear vision of the destination your organization has its sights set on to improve performance management by providing context.

No. 2  Give Clear Instructions

A good delegator provides instructions and information without micro-managing. Explain what results are expected, and trust your employee has the training and skills to get them for you.

Don’t assume they understand what you want

Hopefully most people on your team are intuitive, but they shouldn’t be expected to be mind readers.

Be clear and use specifics

Give instructions that are clear, specific, and concise.

Give examples

And be specific! It is a leader’s job to give clarity of the vision to their team.

Provide alternatives

Empower your staff to get tasks accomplished without constantly having to come to you for approval. Have alternatives set up in case your preferred methods are not available or viable.

Set time frames

Failure to be specific with your time frames and deadlines can have serious implications. Deal with specifics and avoid vague terms such as “soon.”

Get confirmation of clarification

Make sure your team has a clear understanding of your objectives and expectations before they jump into action.

No. 3  Ensure Adequate Resources and Training are Provided

Even the most capable of employees is destined for failure if they aren’t given the tools and resources they need to complete a project.

Take the necessary steps to ensure your team has the skills to do the work they’ve been given, and have a plan in place to train and familiarize anyone new to a specific tool or task.

No. 4  Delegate Authority Along with Responsibilities

If you’re in a situation where you have a job to do but don’t have the authority needed to get the task done, production stalls. Employees are forced to turn to (and wait for) someone with the clearance to make the call.

This is counterproductive to the purpose of delegation, not to mention making your employees feel that they are not trusted.

Overall productivity will benefit as much as the team’s confidence when a leader fosters a culture that empowers people to make decisions and take necessary steps to complete their work without having to constantly ask for permission.

No. 5  Consistently Communicate Gratitude

While this may seem like the simplest of the steps, it is the one of the most invaluable tools in business. Nothing inspires loyalty and provides employee satisfaction quite like genuine gratitude and appreciation for their hard work, talents, and accomplishments.

Positive reinforcement shows your employees what they should continue doing in order to make the whole team successful. Make sure you are taking the time to show your team that you value them.
